Privacy Policy

WAVEX Schools (“we”, “us”) provides a school management app to schools. This policy explains what data we handle, why, and how it is protected. It applies to our website wavexschools.in, the live demo and the school app.

1. Who controls the data

Each school that uses WAVEX Schools decides what information about its students, parents and staff is entered into the app. For that data the school is the data fiduciary and we act on its behalf as a data processor, only to run the service for that school. For enquiries sent through our website, we are responsible for that information.

2. What we collect

• School records added by the school: names, class and section, roll number, contact details, attendance, homework, marks, report cards, fees, library and hostel records, and photos uploaded by the school.
• Account data: User ID, email, mobile number and a password stored only as a secure one-way hash (no one, including us, can read it).
• Payments: fee payments are handled by our payment partner (Razorpay). We never see or store card numbers, CVV or UPI PIN – only the payment reference and status.
• Website enquiries: when you book a demo we store your school name, name, phone, email, city and message.
• Technical logs: IP address, time and type of action, kept for security and to fix problems.

3. How we use it

• To run the app for the school: sign-in, dashboards, report cards, notifications and payments.
• To keep accounts secure (one-time passwords, login limits, audit logs).
• To answer your demo request and support the school.

We do not sell personal data, show advertising, or use student data for marketing.

4. Who can see it

Each school's data is kept separate. Inside a school, people see only what their role allows – for example a student sees only their own records, and teachers see only their own classes. Our team accesses a school's data only when needed to provide support or keep the service running, and such access is logged.

We use trusted service providers to run the service: cloud hosting in India (Amazon Web Services, Mumbai region), the payment gateway, email delivery and, if the school enables it, an AI assistant provider. They process data only to provide their service to us.

5. Security

Data is sent over encrypted connections (HTTPS) and stored on secured servers with restricted access. Passwords are hashed, uploaded files are served only to signed-in users allowed to see them, and important actions are logged.

6. How long we keep data

School data is kept while the school uses the service. If a school stops using the service, its data is kept for a limited period so it can be exported, and then deleted, unless the law requires us to keep it longer. Demo enquiries are kept for up to two years.

7. Your choices and rights

Students, parents and staff should contact their school first to see, correct or delete their information. You can also write to us and we will help the school respond. If you sent us a demo request, you can ask us to delete it at any time.

8. Children

Student data is entered and managed by the school, which is responsible for any consent needed from parents or guardians under applicable law, including the Digital Personal Data Protection Act, 2023.

9. Changes

We may update this policy. The date at the top shows the latest version; important changes will be shared with schools.
